 PG Online Admission System

  1. The PG Online Admission System (PG OAS) refers to the online platform hosted by HKUST Fok Ying Tung Graduate School (FYTGS) for handling PG admissions.  This is the centralized online platform where:
    1. applicants can prepare and submit applications, upload documents, pay application fees, review their application status, and accept admission offers;
    2. referees can submit online reference forms;
    3. Program Offices can review and shortlist applications, recommend offers, and review admission status; and
    4. FYTGS can update application profiles, release offers, and handle admission-related procedures
       
  2. FYTGS will request Program Offices to provide updated information such as application deadlines, tuition fees, and deposit amounts for the upcoming admission exercise.  The request will be made in June for Fall Term admission, and in August for Spring Term admission.  FYTGS will update publicity materials, admission webpages and OAS accordingly.
     

 Application Period

  1. Applications for admission are invited a year ahead of the intake year. When deciding an application deadline for Fall Term admission, we suggest that Program Offices pick the first day of the month, from February to June.   Program Offices may choose to add another deadline in mid July for applicants who do not need to apply for student visas.
     
  2. To avoid confusion, Program Offices should not close application before the published application deadlines.
     
  3. System-generated email reminders will be sent to applicants with application under preparation one week before the application deadline.  In case Program Offices would like to extend the published application deadline, they should send a written request to FYTGS two weeks before the original deadline.
  4. Applications for Spring Term admission are accepted until early November for non-local applicants, and until mid-December for local applicants.
     

 Application for Admission

  1. Once the online admission system opens, applicants can create an account and submit application. Besides presenting their personal particulars, academic qualifications, public examination results, etc., applicants can also upload supporting documents and invite referees to provide references online.
     
  2. Application can be submitted successfully only after payment of the application fee.
     
  3. Applicants can apply for multiple programs under the same account via PG OAS. They need to complete each application and settle application fee one by one.
     
  4. After application submission, an applicant can still make the following changes in OAS:
    1. update contact details
    2. provide newly available academic result(s) or test score(s)
    3. add or update publications
    4. resend invitations to referee(s) or add referee(s)
    5. upload additional supporting document(s)
       
  5. Personal data such as name, date of birth, and citizenship cannot be updated by applicants after application submission. Where necessary, applicants can approach FYTGS (via enquiry form) for amendment of personal data.
     

 Admission Interview and Decision

  1. Program Offices are recommended to arrange admission interviews for shortlisted candidates. To ensure impartiality, interview panels should consist of at least two interviewers.
     
  2. Admission interviews should be held either face-to-face or via video conferencing. Phone interview is not recommended. Identity of the applicants should be verified before the interview. Program Offices should maintain proper documentation of the results of the identity check.
     
  3. Program Offices should exercise all reasonable measures to maintain the impartiality of the interview assessment, for example, maintain the confidentiality of interview questions and the assessment rubrics, remind interviewers and admissions personnel to stay alert to deceptive activities during online and face-to-face interviews etc.
     
  4. Program Offices are required to keep proper documentation for all admission interviews, including assessment reports and admission decisions.
     
  5. Admission decisions should be made by an admission committee consisting of at least one academic staff.
     
  6. In the handling of fraudulent admission application cases, please refer to the Procedures and Guidelines announced by the Office of the Provost.
